By accessing our website, creating an account, or booking a workshop with Red Dot Photo Workshops, you agree to be bound by these Terms of Service. Your participation constitutes acceptance of the most current version of these Terms, including any updates published before your final payment. The current version is always posted on this page.
Red Dot Photo Workshops is the destination workshops program of Leica Store Miami. All bookings are made with and contracted through Red Dot Photo Workshops, LLC, and references to “we,” “us,” and “our” in these Terms refer to that entity.
You must be at least 18 years old to book a workshop, and at least 21 to travel with us unaccompanied. Participants under 18 may join when accompanied by a parent or legal guardian, subject to our approval and the requirements of our operating partners.
By registering, you represent that you are physically and mentally fit for the workshop you have chosen and that you understand travel and field photography involve inherent risks.
A booking is confirmed when we receive your initial deposit or full payment. Enrollment is limited and spots are filled on a first-come, first-served basis. We reserve the right to decline or cancel a booking at our discretion.
All prices are listed in US dollars unless otherwise stated. Payments are processed securely through Stripe. Payment reminders are sent by email and, if you opt in, by SMS.
A deposit is required at the time of booking. Deposit amounts vary by workshop and are stated on each trip page. Final payment is due 120 days before the first day of the workshop. If you book within 120 days of departure, payment in full is required at the time of booking.
We reserve the right to release your seat if final payment is not received by the due date, in which case our Cancellation and Refund Policy applies.
Our published prices reflect supplier rates and exchange rates at the time the workshop is listed. In limited circumstances we may adjust the price between deposit and final payment, including for:
We will notify you in writing of any adjustment as soon as we are aware of it. Adjustments are passed through at cost and are not a source of profit for us.
Prices are per person based on double occupancy unless the trip page states otherwise. If you prefer a private room, a single supplement applies and is listed on the trip page. If you request a shared room and we are unable to match you with a roommate, the single supplement may be charged.
Each workshop lists its inclusions on the trip page. Unless specifically noted, tuition does not include:
Cancellations, refunds, deposit credits, seat-filling, trip-specific terms, and cancellations or changes made by us are governed by our Cancellation and Refund Policy, which forms part of these Terms. Please read it before you book.
In summary — and the full policy controls where they differ: deposits are non-refundable (though they may convert to a future-workshop credit when you cancel 121 or more days out); refunds step down as departure approaches and end 89 days before departure; a $250 administrative fee applies; and if we fill your cancelled seat, you are refunded in full less that fee. If we cancel a workshop, you receive a full refund or may transfer the full amount to another departure. Every booking may be cancelled within 72 hours of purchase for a full refund, provided departure is more than 30 days away.
Insurance expectations vary by workshop. Each trip is assigned one of the coverage tiers below, marked as either Required or Recommended. Your booking confirmation and the pre-departure checklist in your customer dashboard state which applies to your departure.
Travel medical insurance. Emergency medical coverage for travel abroad. Most of our international workshops carry this tier.
Travel medical + evacuation coverage. Remote expeditions require emergency medical insurance and emergency evacuation coverage, because professional rescue from these locations can be extraordinarily expensive and our operating partners will not carry a guest without it. A single policy may cover both, or you may combine an annual travel medical plan with an evacuation membership such as Global Rescue or a Garmin inReach SOS plan.
Comprehensive travel insurance. Some workshops — typically those involving expedition vessels, charters, lodge buyouts, or especially remote destinations — call for comprehensive coverage including emergency medical and evacuation, trip cancellation and interruption, and travel delay benefits.
Where a tier is marked Required, it is a condition of participation and cannot be waived. You must confirm your coverage in your dashboard checklist before departure, and for some workshops you must upload evidence of the policy. We reserve the right to decline participation, without refund, if you cannot demonstrate the required coverage.
Where a tier is marked Recommended, you may choose to travel without the recommended coverage by acknowledging in your dashboard that you assume all associated liability. We strongly encourage you not to.
We are not responsible for cancellations due to medical or personal emergencies, and our cancellation policy applies regardless of the reason you withdraw. Even where your workshop does not require it, we strongly recommend purchasing trip cancellation coverage, and a Cancel For Any Reason rider if it is available to you.
Timing matters. Most insurers require cancellation coverage, Cancel For Any Reason riders, and any waiver of pre-existing conditions to be purchased within 14 to 21 days of your initial deposit. If you intend to insure your trip, buy the policy when you book, not later.
If you travel more than once or twice a year, an annual multi-trip policy from a provider such as Allianz often costs close to what two single-trip policies would, and it covers every trip you take during the policy year. Annual plans do cap individual trip length and may carry lower cancellation limits, so compare the terms against the workshop you are joining.
Providers such as Allianz Global Assistance and Travelex are well established, but you are free to choose any reputable insurer. We do not sell insurance, receive commission on it, or endorse any specific policy. It is your responsibility to verify that your coverage is adequate and to understand your policy’s exclusions, particularly around pre-existing conditions and adventure activities.
We advise all participants to insure their equipment against damage, theft, and loss. Check first with your homeowner’s or renter’s policy, and consider a photography-specific policy if that coverage is insufficient.
You are solely responsible for choosing a workshop appropriate to your physical abilities and for ensuring you are in good enough health to undertake it. Workshops vary considerably in demand, and each trip page describes what to expect. Some involve long days, early starts, uneven terrain, altitude, small boats, or remote locations far from medical care.
By registering, you certify that you have no known medical condition or disability that would create a risk for yourself or others. We may request a physician’s statement of good health at any time.
You authorize us and our workshop leaders to arrange emergency medical care on your behalf if immediate treatment is, in their judgment, advisable. You agree to assume all costs of that care and any related transportation, including evacuation.
If, after reasonable accommodation, a workshop leader determines that your continued participation would compromise the safety of the group or materially affect the experience of other participants, you may be removed from the workshop. Costs associated with your removal or early departure are your responsibility, and no refund will be issued.
If you have a condition, mobility consideration, or dietary requirement you would like us to plan around, please talk to us before you book. We will tell you honestly what we can and cannot accommodate on a given trip.
You are responsible for ensuring you hold valid passports, visas, permits, and immunizations required for your destination and for any country you transit. Your passport should remain valid for at least six months beyond your return date.
We provide guidance where we can, but requirements change and are ultimately yours to confirm with the relevant consulate or visa service. We are not responsible for denied entry, travel interruptions, or additional expenses resulting from missing or inaccurate documentation, and no refund will be issued in those circumstances.
You are responsible for providing accurate traveler information, including passport details, dietary requirements, and emergency contacts, by the deadlines specified. Names must match your passport exactly. Incomplete or inaccurate information may affect travel arrangements, and we are not liable for issues arising from details you provide.
Participants agree to treat staff, leaders, guides, fellow guests, and the communities we visit with respect, and to follow reasonable instructions and local regulations.
We reserve the right to refuse participation or remove any individual whose behavior disrupts the group, jeopardizes safety, or violates local law, without refund and at that person’s own expense.
You are responsible for the care, security, and insurance of your own photography equipment. We are not responsible for loss, theft, or damage to personal gear. If you borrow or rent equipment from us or a third party, you accept it as is and assume responsibility for its use and any resulting damage.
Drone use is restricted or prohibited in many parks, wildlife areas, and countries we visit. If you intend to fly, it is your responsibility to obtain all required permits and to comply with local law. We may limit or prohibit drone use at our discretion for safety, privacy, or logistical reasons.
Participants agree to follow Leave No Trace principles, to respect wildlife and local communities, and to observe all site-specific photography rules, including restrictions on flash, tripods, and access. We reserve the right to remove, without refund, any participant whose conduct harms wildlife, the environment, local communities, or the experience of others.
Field photography and international travel involve inherent risks. These may include injury, illness, or death; loss or damage to property; travel to remote areas that do not meet the safety, sanitation, or medical standards you are accustomed to; encounters with wildlife; unpredictable weather; and transport by vehicle, boat, aircraft, or on foot in demanding conditions.
By booking a workshop, you voluntarily assume all such risks, known and unknown, on behalf of yourself and your heirs and representatives, and you release us, our officers, employees, contractors, guides, and partners from liability arising from your participation, except in cases of gross negligence or willful misconduct.
You understand that medical facilities may not be readily available and that emergency evacuation may be difficult, delayed, or impossible in some of the places we travel.
Every participant must sign our Liability Waiver and Assumption of Risk agreement before departure. We will send it to you after booking, and it must be returned within 14 days of registration. Participation will be declined without a signed waiver, and no refund will be issued in that circumstance. No modifications to the waiver can be accepted.
Some of our operating partners require their own waivers, health forms, or medical declarations. These are separate from ours and must also be completed by the deadlines they set.
In the event of any conflict between this section and the signed Liability Waiver, the terms of the signed waiver govern.
We rely on independent third parties to deliver many elements of our workshops, including expedition vessels, lodges, hotels, charter operators, airlines, ground transport providers, and local guides. All arrangements are subject to the terms and operating policies of those providers.
We select our partners carefully, but we do not control them and are not responsible for their acts or omissions, or for travel delays, lost baggage, overbooking, mechanical failures, or scheduling irregularities. We recommend building flexibility into your travel plans on either side of the workshop dates.
To the fullest extent permitted by law, we shall not be liable for any indirect, incidental, special, or consequential damages arising from your use of our services, participation in a workshop, or reliance on information we provide. Our total liability, whether in contract, tort, or otherwise, shall not exceed the amount you paid us for the workshop in question.
Workshop leaders, guides, and instructors may be employees or independent contractors. Nothing in these Terms limits liability for our own gross negligence or willful misconduct.
All content on our website, including text, images, logos, and design, is the property of Red Dot Photo Workshops or its licensors and is protected by copyright. You may not reproduce, distribute, or create derivative works without our written permission. Workshop materials, itineraries, and instructional content are proprietary and may not be used for any commercial purpose.
Your photographs are yours. You retain full ownership and copyright in every image you make on our workshops.
By participating, you grant us permission to use photographs and video taken by our leaders and staff during the workshop, including images in which you appear, for promotional and editorial purposes. If you prefer not to appear in such materials, notify us in writing before the workshop begins and we will make reasonable efforts to honor that request.
If you voluntarily share your own images with us for use in a gallery exhibition, publication, social media feature, or other program, that use is governed by the specific permission you give at the time. We will always credit you, and we will not license your work to third parties without your written consent.
If you work as a photography instructor, guide, or tour leader, please disclose that when you book.
Itineraries, teaching materials, vendor relationships, and participant information observed during a workshop are confidential. You agree not to use them to organize, promote, or operate a competing photography tour or workshop, and not to solicit our participants, partners, or vendors for commercial purposes for a period of two years following the workshop.
Personal, non-commercial contact between participants is welcome and encouraged, with mutual consent. Please do not compile or use group contact lists for marketing of any kind.
You are responsible for maintaining the confidentiality of your account credentials and for all activity under your account. Notify us immediately if you suspect unauthorized access.
By booking a workshop, you consent to receive transactional emails related to your booking, including confirmations, payment requests, trip information, and invoices. These are not marketing emails and are necessary for the operation of your booking.
SMS notifications are optional. If you opt in through your dashboard profile or during checkout, you agree to receive text messages from Red Dot Photo Workshops at the number you provide. These include booking confirmations, payment reminders, and trip updates.
Opting out of SMS does not affect your booking or email communications.
You agree not to use our website for any unlawful purpose, attempt to gain unauthorized access to our systems, or interfere with the website’s operation. We reserve the right to suspend or terminate access for violations of these Terms.
Our collection and use of your personal information is governed by our Privacy Policy, which forms part of these Terms.
These Terms are governed by the laws of the State of Florida, United States, without regard to its conflict of law principles, and apply to all participants regardless of residence.
Any dispute shall be resolved in the state or federal courts located in Miami-Dade County, Florida. All claims must be brought on an individual basis, and class, collective, or representative actions are waived.
We may update these Terms from time to time. Changes take effect when posted on this page and apply to bookings made after the effective date. Existing bookings remain governed by the terms in effect when they were made, except where a change is required by law or agreed in writing.
If any provision of these Terms is found unenforceable, the remaining provisions remain in full effect. We may assign our rights and obligations under these Terms to an affiliated entity. These Terms, together with your booking confirmation, our Cancellation and Refund Policy, and any trip-specific terms, constitute the entire agreement between us.
