Cancellation Policy

Cancellations and Refunds

Enrollment is limited. When you reserve a seat, we take it off the market and begin committing your money to lodges, vessels, guides, and permits, most of which require payment well before departure. Please read this section before you book.

Your deposit

Your deposit covers the planning and supplier commitments we take on the moment you register: lodging and vessel reservations, permits, ground arrangements, itinerary development, and pre-trip correspondence. Deposit amounts vary by workshop and are stated on each trip page, since some of our operators require a larger commitment at booking than others.

Deposits are non-refundable. If you cancel 121 or more days before departure, you can carry your deposit forward as a credit toward a future workshop rather than lose it. The conditions are below.

Travel insurance

Insurance requirements vary by workshop. Each trip page states whether that departure requires travel medical and evacuation coverage, requires comprehensive travel insurance, or requires no coverage at all (though we always recommend it). Where coverage is required, we require proof before departure — and whichever tier applies, we recommend buying your policy when you make your first payment rather than later.

Two things worth knowing. Standard policies cover named reasons such as illness, injury, or a death in the family. If you want the ability to cancel for any reason at all, that is a separate and more expensive product, and it usually must be purchased within a short window after your initial deposit. Insurance is also what protects your airfare and other costs, which our own policy cannot cover.

If you need to cancel

Submit a cancellation request through your Customer Dashboard as soon as you know you cannot travel. Your refund is based on the date we receive that request.

Throughout this section, your total payments means everything you have paid us for the workshop: your deposit, your workshop fee, and your private room supplement if you booked one.

  • 121 or more days before departure: Your total payments are refunded, less your deposit and the $250 administrative fee.
  • 120 to 90 days before departure: Half of your payments above the deposit are refunded, less the $250 administrative fee. Your deposit is not refunded.
  • 89 days or fewer before departure: No refund.

Refunds are returned to the original payment method.

If we fill your seat

Whenever you cancel, we will try to fill your place. If we succeed before departure, we refund your total payments, deposit included, less the $250 administrative fee. We make a genuine effort here, and we will keep you posted on where things stand.

Applying your deposit to a future workshop

If you cancel 121 or more days before departure, you can carry your deposit forward as a credit rather than lose it. A few conditions apply.

  • The credit can be used once. It cannot be moved again to a third workshop.
  • It must be applied to a workshop departing within 24 months of your cancellation date.
  • It is issued to you personally and cannot be transferred to someone else.
  • It has no cash value and cannot be refunded once issued.
  • It cannot be combined with promotional or discounted pricing.
  • Requesting a credit does not hold a seat. Your place on the new workshop is confirmed only once you register and the credit is applied.

Requests that meet these conditions are approved as a matter of course. We reserve the right to decline requests that fall outside them.

Workshops with their own terms

Some workshops involve charters, expedition vessels, or lodge buyouts where our own payments are non-refundable from the moment we book. These carry their own cancellation terms, stated on the trip page and in your booking confirmation. Where trip-specific terms are published, they replace the schedule above.

If we cancel or change a workshop

If we cancel. We may cancel a workshop due to insufficient enrollment or safety concerns. If that happens, you choose: a full refund of everything you have paid us, with no administrative fee, or the full amount applied to another workshop departing within 24 months.

Our responsibility is limited to what you have paid us. It does not extend to airfare, visa fees, gear purchases, insurance premiums, or other costs you take on preparing for the trip. This is why we recommend travel insurance and ask you not to book non-refundable flights until we confirm your departure is going.

Itinerary changes. Published itineraries are careful plans, not guarantees. Weather, wildlife, permit availability, road and trail conditions, supplier availability, and local circumstances can all require changes, sometimes on short notice. Workshop leaders have full discretion to adjust the schedule in the interest of safety, light, or the experience of the group as a whole. Changes of this kind are not grounds for a refund or discount.

Group travel also involves some compromise to accommodate the interests, pace, and physical abilities of other participants.

Instructor substitution. If illness, injury, or other circumstances make a workshop leader unavailable, we may substitute a comparable instructor.

When a workshop is built around a specific guest photographer and we know 60 or more days before departure that they cannot lead it, we will tell you promptly, and you may cancel for a full refund of everything you have paid, with no administrative fee, or carry the full amount to another workshop. Closer to departure, or where the change is to our own teaching staff, a substitution is not grounds for a refund.

Events beyond anyone’s control. We are not liable for delays, cancellations, or changes caused by events beyond our reasonable control, including natural disasters, pandemics, epidemics, war, terrorism, civil unrest, strikes, government orders, travel restrictions, and airline or supplier disruptions. In these cases we may reschedule the workshop, postpone it, or apply your payments as credit toward a future workshop. Where a refund is due, it is limited to what we are able to recover from our suppliers.

A few other things

Cancellation requests must be submitted through your Customer Dashboard or in writing to info@reddotphotoworkshops.com. Verbal notice is not sufficient.

We do not issue partial refunds for unused portions of a workshop, including missed days, early departures, or activities you choose not to join. Workshops are sold as a package.

If you have a concern about a charge, contact us first and give us a reasonable opportunity to resolve it. Initiating a chargeback without doing so is a breach of our Terms of Service.

These terms apply to bookings made on or after September 1, 2026. Bookings made before that date are governed by the policy in effect at the time, which is available from us on request.

We apply this policy consistently to all participants.
